Kallos Property Management — Privacy Policy

Kallos Real Estate Inc, d.b.a. Kallos Property Management (“Kallos,” “we,” “us,” “our”) operates the website located at www.kallosre.com (the “Site”). This Privacy Policy describes the information we collect through the Site, how we use it, and the circumstances under which we may share it with third parties. By using the Site, you consent to the practices described in this policy.

1. Information We Collect

We collect personal information that you voluntarily provide through the Site, including:

  • Property owner onboarding: Name, email address, phone number, mailing address, property addresses, entity name and type, and related ownership information submitted through our onboarding forms.
  • Vendor onboarding: Company name, contact name, email address, phone number, trade and service area information, and uploaded documents such as W-9 forms, certificates of insurance, and professional licenses.
  • Market report tool: Property addresses entered to generate rental market data.
  • Scheduling: Name and email address submitted through our integrated third-party scheduling service (currently Calendly).
  • General inquiries: Any information you voluntarily provide when contacting us by email or through the Site.

We do not use cookies, tracking pixels, or tracking analytics services on the Site. We do not automatically collect browsing behavior, device identifiers, or similar data beyond standard web server logs maintained by our hosting provider in the ordinary course of serving web pages (which may include IP address, browser type, and pages requested).

2. How We Use Your Information

We use the information we collect from you for business purposes, including:

  • Providing and administering our property management services, including creating and managing accounts in our property management platform;
  • Processing and verifying onboarding submissions, including ownership verification and entity status checks;
  • Preparing, sending, and managing agreements for electronic signature;
  • Communicating with you regarding your account, properties, or inquiries;
  • Generating rental market reports based on property addresses you provide;
  • Coordinating vendor onboarding and maintaining vendor records; and
  • Complying with applicable legal and regulatory requirements.

We do not use your personal information for behavioral advertising, profiling, or any purpose unrelated to the delivery of our services.

3. Information We Share with Third Parties

We do not sell, rent, or trade your personal information. We share your information with third-party service providers solely as necessary to operate the Site and deliver our services. These providers include:

  • Property management platform (currently Buildium): Owner, tenant, and property information for account creation and ongoing management.
  • Electronic signature provider (currently DocuSign): Name, email address, and property information for agreement preparation and execution.
  • Email service provider (currently SendGrid): Email addresses for transactional communications such as welcome emails and notifications.
  • Market data provider (currently RentCast): Property addresses for generating rental market analyses.
  • Property data and verification services (currently ATTOM and Cobalt Intelligence): Property addresses and entity names for ownership and entity verification.
  • Address autocomplete (Google Maps Platform): Property address input for address validation and autocomplete functionality on our forms.
  • Scheduling service (currently Calendly): Name and email address for appointment scheduling.
  • Web hosting provider (currently WP Engine): All Site data in the ordinary course of hosting and serving the Site.
  • Internal record-keeping (currently Google Console): Vendor contact and onboarding information for internal tracking purposes.

Each of these providers is authorized to use your information only as necessary to provide their respective services to us.

We may also disclose your information if required to do so by law, subpoena, court order, or government request, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others, or to investigate fraud or respond to a government request.

4. Your Choices

You may decline to provide personal information through the Site, although doing so may prevent you from using certain features of the Service, such as submitting onboarding forms or scheduling consultations. 5. Security

We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, use, alteration, or disclosure. However, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

6. Children’s Privacy

The Site is not directed to individuals under the age of 18, and we do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information promptly.

7. Do Not Track

The Site does not use cookies or tracking technologies and does not track users’ online activities across third-party websites. Because no tracking occurs, the Site does not currently respond to Do Not Track (“DNT”) browser signals.

8. Changes to This Policy

We may update this Privacy Policy from time to time. If we make changes, we will post the updated policy on this page with a revised effective date. Your continued use of the Site after any changes constitutes your acceptance of the updated policy.
